The Clerk's Office is an information hub for the Village of Canton acting as the nucleus for the Village Government, providing support to both residents and the various Village Departments. 

Duties & Responsibilities

The Village Clerk works with the Mayor and Board of Trustees to oversee all administrative responsibilities of the Village of Canton and is responsible for maintaining custody of the Village seal, books, and all official reports.

The Village Clerk is the Village of Canton's Freedom of Information Officer/Records Management Officer and is custodian of all Village records, responsible for active files, storage and retrieval of inactive records, and the careful maintenance of archival material.

 The Clerk is also the Receiver of Taxes.

Other Duties & Services

  • Coordinating the Village’s response to public requests for access to records pursuant to the NY State Freedom of Information Law (FOIL)
  • Attending and taking minutes of all Village Board meetings
  • Publishing notices of Public Hearings, as well as filing all Local Laws with the New York State Department of State
  • Maintaining records of all Village Ordinances, contracts, correspondence and agreements
  • As Registrar of Vital Statistics, issuing and maintaining records for births and deaths that occur in the Village of Canton
  • Offering Notary Services. Services are available at Village Hall during normal operating hours. Appointments are not needed, but are appreciated. Please bring the document in its entirely and a valid photo ID.


The Village Clerk is appointed by the Mayor and approved by the Board of Trustees. The Village Clerk has a 4-year term and the Deputy Clerk a 1-year term.

Birth & Death Certificates:

For certified copies, an application is needed.

The cost for a certified birth or death record is $10.00 a copy. We accept cash, check, or credit card. If you are mailing your application for a record, please be sure to have your application notarized to verify identification. Please include a check payable to the Village of Canton, and a copy of your driver license/photo ID please. We are also available Monday – Friday, 8:00am – 4pm, if you’d like to stop in person.
*When using a credit/debit card there is a service fee. 

Genealogy Searches:

The Village Clerk’s Office also offers genealogy searches and general information. Please use this form to begin the process. Please call the Village Clerk’s office with any questions you may have.

The cost for a genealogy request is $11.00 per search.

Village FOIL Request Form:
The Village Clerk is the custodian of Village records and is responsible for retrieval and disposition of records created by departments within the Village.  All Freedom of Information (FOIL) requests go through the Village Clerk.

Looking for a Disposition:
The Village of Canton Court dissolved in December of 2012. The Village Clerk's Office holds the records for the time prior to that date. If you are looking for a disposition in the Village of Canton prior to 2012 please fill out the disposition request form. You will need to supply a copy of your drivers license. The cost for a copy of each disposition is $5.00. If you are looking for a disposition after December, 2012 you will need to contact the Town of Canton Court Office. 

Food Truck / Hawking Permits:
As defined in section 198-7 of the Village Code Book any person traveling by foot, wagon, automotive vehicle or any other type of conveyance, from place to place, from house to house, or from street to street, carrying, conveying or transporting and exposing for sale any goods, wares, or merchandise, including food and beverages; or who, without traveling from place to place, shall sell or offer the same for sale from a wagon, automotive vehicle or other conveyance or from a stand or from the person. The term "hawker" and its definition are intended to be synonymous with the term "peddler."

A permit is required and the application form is found below:

The current application fee is $25.00 / month or $100.00 / year. 

Please read the application carefully. Some of requirements are Certificate of Liability Insurance naming the Village of Canton as additional insured, a copy of your driver's license and your vehicle registration, if on private property written permission from the property owner, sales tax number and a copy of any NYS Department of Health Permits required. Please submit the application and all required information to the Village Office.

Winter Parking Permits:
From November 30th through March 31 there is no on street parking allowed in the Village of Canton. Parking Permits are required for overnight parking in an area designated by the Village. The permit is issued in the Village Clerk's Office. When you come to the Clerk's Office for a permit you will need to bring your driver's license and your vehicle registration. 

Parking Permit fees: Monthly- $30.00      Two Months- $55.00     Season- $110.00
